ACCESSING YOUR MAIL BOX FOR THE FIRST TIME

  1. Dial 73500.
  2. You will be prompted for your mail box number. Enter your 5-digit extension number and the * key. You will then be taken through a User Tutorial to set up a pass code, to record a greeting to callers, and to record your name. The name recording identifies you to other campus users when they address messages to your mailbox or include you on a distribution list. It also identifies you as the sender of a message to another campus user.
  3. You can repeat the User Tutorial any time after accessing your mailbox by utilizing User Options (see instructions below).

CHECKING MESSAGES

By Use of the Voice Mail Button:

  1. Flashing Voice Mail button indicates you have a message. To access voice mail system directly, press the button.
  2. Enter your pass code when prompted. You will hear your personal name greeting followed by an auto-attendant greeting announcing the number of messages in your mailbox.
  3. Press "P" key to play messages. After playing your messages you may press 'P" to play the current message again, "M" to make a new message, "G" to give the message to another user, "K" to keep the message, "D" to discard messages. Press "X" to exit the system.

From Another Extension:

  1. Dial 73500.
  2. Enter your 5-digit extension number followed by the * key.
  3. Enter your pass code when prompted. You will hear your personal name greeting followed by an auto-attendant greeting announcing the number of messages in your mailbox.
  4. Press "P" key to play messages. After playing your messages you may press 'P" to play the current message again, "M" to make a new message, "G" to give the message to another user, "K" to keep the message, "D" to discard messages. Press "X" to exit the system.

From an Off-Campus Phone Number:

  1. Dial 687-3500.
  2. Dial your 5-digit extension followed by the * key.
  3. Enter your pass code when prompted. You will hear your personal name greeting followed by an auto-attendant greeting announcing the number of messages in your mailbox.
  4. Press "P" key to play messages. After playing your messages you may press 'P" to play the current message again, "M" to make a new message, "G" to give the message to another user, "K" to keep the message, "D" to discard messages. Press "X" to exit the system.


PLAYING MESSAGES

Press P (7 key) to play messages (urgent messages will automatically be played first)

After playing your first messages you have several options:

  1. Press P (7 key) to play current message again.
  2. Press A (2 key) to answer the person who sent the message. You can only do this providing the person who left the original message is a campus user and accessed your mailbox by dialing your extension directly and not by dialing x73500. When you have finished recording your response, press X (9 key) to send it. You may also Press the * key to send your response to additional mailboxes.
  3. Press G (4 key) to give the message to another mailbox or distribution list. Be sure to record your response before giving it to another mailbox so that your response is included. Press the # key to record your response. When you have finished recording, press the 9 key to send your response, you may also Press the * key to send your response to additional mailboxes. Always record a message to advise the person that you originally received this message and are now forwarding it to them. This eliminates the possibility of delayed messaging.
  4. Press K (5 key) to keep the message. Messages will be deleted from your mailbox automatically after 15 days.
  5. Press D (3 key) to delete the message

TO SEND A MESSAGE

Press M (6 key) to Make a Message.

  1. Enter one of the following: the person's extension number or your distribution list number.
  2. Once the system confirms the person's name, enter any other names or numbers for people you wish to make a message.
  3. When you have finished addressing your message, Press the # key.
  4. Begin recording your message after the tone. (You may press the * key to pause/or resume during recording).
  5. When you are finished recording: WAIT. System will respond with "Recording Complete", and you will be offered the following menu selections:
  • Press the R (7 key) to review your message.
  • Press the D (3 key) to discard & re-record your message.
  • Press the A (2 key) to append to your message.
  • Press the M (6 key) to access Message Addressing Options. (Message Addressing Options are C- Confidential R- Return Receipt, U- Urgent Delivery, F- Future Delivery.) Once you have selected from these options, Press X (9 key) to exit from Message Addressing Options.
  • Press the X (9 key) to send the message and exit to the main menu

USER OPTIONS

  1. Dial 73500.
  2. Enter your 5-digit extension followed by the * key.
  3. Enter your pass code when prompted. You will hear an auto-attendant greeting announcing the number of messages in your mailbox. You may go directly to User Options by pressing "U" (8 key).

User Options allows you to:

Press G (4 key) to record or change your Greeting:

You must determine which greeting type you wish to use. You have three options under Greeting:

  • Primary:
    The mailbox owner records one greeting for callers to hear every time the mailbox is called.
  • General:
    The mailbox owner does not record a greeting. The greeting is generated by the system. The mailbox owner's name is inserted into this greeting once they have recorded their name (see User's Options #2., "Name").
  • Conditional: The mailbox owner records three different greetings for Busy, Call Forward, and Ring No Answer telephone conditions.

The voice mail system will tell you which greeting is currently enabled. If you wish to enable a different greeting, follow instructions below, Paragraph c).

To change your greeting:

a.) C (2 key) to change your conditional personal greeting.

  • B (2 key) to change your Busy greeting.
  • F (3 key) to change your Call Forward greeting.
  • N (6 key) to change your No Answer greeting.
  • X (9 key) to Exit to the prior menu.

b.) P (7 key) to change your Primary personal greeting.

  • L (5 key) to Listen to your Primary greeting.
  • R (7 key) to Record your Primary greeting.
  • X (9 key) to Exit to the prior menu.

c.) E (3 key) to Enable your greeting types:

  • C (2 key) to Enable your Conditional greeting.
  • G (4 key) to enable your General greeting.
  • P (7 key) to enable your Primary greeting.
  • X (9 key) to Exit to the prior menu.

2. Press N (5 key) to change your Name recording:

  • Press L (5 key) to Listen to your name recording.
  • Press R (7 key) to Record your name.
  • Press X (9 key) to Exit to the prior menu.

3. Press P (7 key) to change your Pass code:

Enter 4 to 10 digits. It is advisable that this number sequence, though private, be very familiar to you. If you lose or forget your pass code, the Voice Mail System Administrator does not have access to it. You will need to call Telecommunications and request that a new pass code be applied to your mailbox.

4. Press L (5 key) to create or modify a Distribution List:

  • Enter the number of the distribution list. (Personal distribution lists may be added by only using numbers 02, 03, 04, 05, 06, 07, and 08).
  • Press N (6 key) to record a name for the distribution list. (The system will play this name each time you address messages to this distribution list.)
  • Press A (2 key) to Add mailbox members to the list; Press D (3 key) to Drop mailbox members. Repeat this step until all mailbox members have been added or dropped.
  • Press P (7 key) if you would like the system to Play back the list of mailbox members you have selected.
  • Press X (9 key) to Exit to the main menu.

5. Press T (8 key) to enter Tutorial and follow instructions as prompted by the system.

6. Press X (9 key) to Exit to the prior menu.


VOICE MAIL TIPS

At any time while playing your messages, you can press the 1 key to pause for 30 seconds, press * key to move back 5 seconds, press # key to move forward 5 seconds, press 8 key to skip to your next message, and press 8* keys to go back to the beginning of your previous message.

Use A (2 key) to answer a message received when you do not need to speak directly with the person. Answering a message will not work with off campus callers or those who have dialed 73500 directly to enter your mailbox.

Use 73500 to dial into voice mail and leave messages for people you really don?t need to speak with personally.

When creating distribution lists, be sure you have the correct mail box numbers. Some Faculty and Staff have mailbox numbers that do not match their extension number. Most students have 6 digit voice mailbox numbers.

To transfer a call to a voice mailbox, press your transfer key and dial 73500. When the voice mail system answers, dial the person's mailbox you want to transfer to and then hang up. The caller will hear that person's voice mail greeting prompting them to leave a message.

If you are giving a message to another mailbox, be sure to record Additional Comments before sending the message. This helps the recipient understand the origin of the message.

When messages are given to campus mailbox, the original time/date stamp remains attached to the message. If you are the receiver of such a message, do not be confused by this and think that you have received a new message postmarked with a past time and date.
